Vivid Creative Services – Social Media Policy

Introduction
Vivid Creative Services (VCS) maintains an active presence across social media platforms to share insights, promote educational content, celebrate client successes, and engage with our community.
This Social Media Policy explains how VCS manages its social-media channels, interacts with followers, and protects its brand reputation and intellectual property online. It also outlines expectations for engagement by the public, employees, contractors, and partners.
By engaging with any VCS social-media channel — including but not limited to Facebook, Instagram, LinkedIn, X (formerly Twitter), YouTube, TikTok, Threads, or future platforms — you agree to this Policy.
1. Purpose of Our Social Media Channels
VCS uses its social-media platforms to:
- Share insights, stories, and educational materials
- Announce upcoming events, campaigns, and publications
- Promote VCS services, books, playbooks, and toolkits
- Celebrate client and partner achievements
- Foster conversation around branding, marketing, and community impact
Vivid Creative Services strives to maintain an informative, professional, and welcoming environment across all platforms.
2. Conduct and Community Guidelines
We encourage conversation, feedback, and respectful dialogue. To maintain an inclusive and positive community, VCS reserves the right to moderate, hide, or remove content that is:
- Offensive, harassing, hateful, or discriminatory
- Spam, solicitation, or unrelated self-promotion
- False, misleading, defamatory, or unlawful
- Infringing upon the intellectual-property rights of others
- Irrelevant, disruptive, or repetitive
Repeat violations may result in users being blocked, restricted, or reported to platform administrators.
3. User-Generated Content (UGC) and Tagging
By tagging, mentioning, or otherwise engaging with VCS social-media accounts, you grant VCS permission to repost, share, or feature your publicly available content — including photos, videos, or testimonials — with appropriate credit.
If you prefer that your content not be shared, please contact info@vcsbrand.com. VCS will review and honor removal requests where reasonably possible.
4. VCS Content Ownership and Brand Representation
All official VCS social-media content — including posts, captions, graphics, videos, and designs — is the intellectual property of Vivid Creative Services.
You may share or repost VCS content for personal or educational purposes only if:
- Proper credit is given (e.g., “Source: Vivid Creative Services”)
- The content is not modified, misrepresented, or sold
Unauthorized commercial use, impersonation, or misrepresentation of VCS content, name, or logo is strictly prohibited and may result in legal action.
5. Use of Employee, Vendor, and Contractor Personal Accounts
While VCS currently operates with a small team, this Policy applies to future employees, vendors, and contractors representing VCS in a professional capacity.
Individuals affiliated with VCS are expected to uphold our brand values — Clear, Concise, Compelling, and Colorful — in professional and online conduct.
Personal social-media activity that references or could reasonably be associated with VCS must remain respectful, accurate, and consistent with our brand reputation.
Confidential or proprietary information must never be shared on personal or public platforms.
Employees, contractors, and vendors should include the following disclaimer on personal profiles when discussing industry-related topics:
“Views expressed are my own and do not necessarily represent those of Vivid Creative Services.”
VCS reserves the right to address behavior on personal accounts that causes reputational harm, violates confidentiality, or breaches professional conduct standards.
6. Use of Employee, Partner, or Client Images
VCS may feature team members, collaborators, or clients on social media with prior consent or in accordance with our Photo, Video & Media Release Policy.
Requests to remove images or posts may be submitted to info@vcsbrand.com for prompt review.
7. Confidentiality and Sensitive Information
VCS will never share client-sensitive or non-public information on its social-media platforms.
Similarly, users, partners, and collaborators are expected not to disclose confidential materials or private project details online.
8. Endorsements and Affiliate Disclosures
VCS may occasionally share affiliate links, product recommendations, or brand collaborations.
When applicable, these relationships will be clearly disclosed in accordance with Federal Trade Commission (FTC) guidelines (e.g., “affiliate link,” “sponsored post,” or “paid partnership”).
VCS does not endorse or assume responsibility for third-party opinions, products, or services.
9. Monitoring and Moderation
VCS monitors its social-media channels during standard business hours and strives to respond to genuine inquiries in a timely manner.
We reserve the right to remove content, hide comments, or restrict accounts at our discretion to maintain professionalism and brand integrity.
10. Crisis Communication and Incident Response
In the event of misinformation, negative publicity, or a social-media-related crisis affecting VCS or its clients:
- All public responses will be coordinated through VCS leadership or designated communications representatives
- Employees, vendors, and contractors are prohibited from commenting publicly unless authorized
- Official updates will be issued through verified VCS channels or formal statements
- Screenshots or records of concerning content may be collected for documentation, investigation, or legal purposes
Our goal is to respond promptly, accurately, and professionally while protecting brand trust and minimizing misinformation.
11. Legal Compliance and Platform Terms
Users are responsible for complying with applicable laws and the terms of service of each social-media platform.
VCS adheres to platform-specific community, advertising, and privacy standards (including Meta, LinkedIn, YouTube, and TikTok policies).
Engaging with VCS social-media content constitutes acceptance of this Policy and applicable platform terms.
12. Governing Law
This Social Media Policy is governed by the laws of the State of Missouri. Venue for any disputes shall be in the state or federal courts located in Jackson County, Missouri.

14. Data Archiving and Content Retention
VCS maintains records of social-media content for transparency, brand protection, and legal compliance.
Posts, messages, and campaign materials may be archived for up to three (3) years or longer if required for contractual, audit, or legal purposes.
Deleted or modified content may remain stored in secure backup archives. Screenshots and records related to client projects, public statements, or crisis responses may be retained for documentation.
Access to archived data is restricted to authorized personnel and used solely for compliance, legal, or business-continuity purposes. This policy applies only to VCS-maintained records and does not override third-party platform retention practices.
