Vivid Creative Services – Photo, Video & Media Release Policy

Introduction
Vivid Creative Services (VCS) captures and shares images, video, and audio recordings as part of our mission to educate, inspire, and connect purpose-driven brands and organizations.
This Photo, Video & Media Release Policy explains how VCS may capture, use, and distribute photos, videos, audio recordings, and other media materials in connection with our services, events, and marketing activities.
By attending or participating in VCS events (in person or online), engaging in recorded sessions, or providing testimonials, you acknowledge and agree to the terms of this Policy.
1. Consent to Use of Likeness
By attending a VCS-sponsored event, meeting, webinar, or participating in any recorded activity, you grant VCS permission to photograph, film, record, or otherwise capture your image, likeness, voice, or statements.
You further grant VCS and its authorized representatives a perpetual, worldwide, royalty-free license to use, reproduce, publish, and distribute such media, in whole or in part, in print, digital, and social media formats for purposes including, but not limited to:
- Marketing and promotional materials
- Website and blog publications
- Social media content
- Training and educational materials
- Event documentation or recaps
2. Virtual Sessions, Webinars, Podcasts, and Vlogs
By joining or participating in a virtual session, webinar, podcast, or vlog hosted or produced by VCS, you consent to the recording of the session, including any video, audio, or chat participation, for internal, educational, or promotional purposes.
You acknowledge that recordings may be edited for clarity, highlights, or length and published on VCS platforms, including our website, podcast feeds, video channels, or social media accounts.
If you do not wish to appear in a recording, you must:
- Keep your camera and microphone turned off during the session
- Refrain from verbal participation that would personally identify you
- Notify VCS in writing prior to the event by emailing info@vcsbrand.com to request exclusion
VCS will make reasonable efforts to honor such requests but cannot guarantee complete exclusion once recordings have been published.
3. Ownership and Rights
All media captured by VCS or its representatives are the sole property of Vivid Creative Services.
VCS may edit, reproduce, adapt, or distribute such materials at its discretion and is not required to provide notice, approval, or compensation for their use.
Participants waive any rights to inspect or approve final materials and release VCS from any claims arising from the use, editing, or publication of the materials.
4. Minors and Individuals Under 18
If an event, program, or media opportunity involves minors (individuals under the age of 18), written consent from a parent or legal guardian is required prior to any photography, filming, or recording.
VCS does not knowingly capture, publish, or distribute identifiable images, voices, or personal information of minors without documented parental or guardian consent.
Parents or legal guardians may revoke consent for future uses at any time by contacting info@vcsbrand.com in writing.
5. Opt-Out Procedure
Individuals who prefer not to be photographed or recorded must notify VCS in writing prior to attending an event, webinar, or recording session.
Opt-out requests should be emailed to info@vcsbrand.com with the subject line “Media Opt-Out Request.”
For in-person events, attendees may also notify VCS staff at check-in. VCS will make reasonable efforts to accommodate such requests, such as seating arrangements away from cameras.
6. Testimonials and Voluntary Submissions
If you voluntarily submit testimonials, quotes, feedback, or other content (written, audio, or video), you grant VCS permission to use such materials, in whole or in part, for promotional, educational, or marketing purposes, with or without identifying information.
If you wish to revoke this permission, you may do so by contacting info@vcsbrand.com. Revocations will apply to future uses only.
7. Third-Party Media and Collaborations
VCS may work with third-party photographers, videographers, podcast producers, or media partners to document or promote events and services.
Such third parties are contractually required to use media materials solely for VCS-authorized purposes and in accordance with applicable confidentiality and professional standards.
8. No Compensation
You acknowledge that participation in VCS events or activities, including virtual or recorded sessions, is voluntary.
No payment, royalties, or other compensation will be provided for the use of your image, likeness, voice, or statements.
9. Governing Law
This Photo, Video & Media Release Policy is governed by the laws of the State of Missouri. Any disputes shall be resolved exclusively in the state or federal courts located in Jackson County, Missouri.
